General questions
What is the difference between Odoo Community and Odoo Enterprise?
Community is the open source edition, free of charge, covering the essential management features. It can be installed and used freely.
Enterprise is the subscription edition. It adds applications and features (Studio, full accounting with reports and returns, connected spreadsheets, electronic signature, Gantt and cohort views, artificial-intelligence assistance, mobile applications) as well as official support and guaranteed updates.
This guide flags the features reserved for the Enterprise edition where they appear.
How do I move to a new version of Odoo?
- Back up the database and the attached files in full.
- Carry out a trial migration on a test environment.
- Check the compatibility of the specific modules and adapt them.
- Check the migrated data and the configurations.
- Have the result accepted by the key users.
- Schedule the switch to production and plan the rollback.
Note
A major version upgrade involves production data. It is conducted with an Odoo partner, especially when the database includes specific developments.
Does Odoo work on phones and tablets?
Yes, in three ways: the web interface adapts to the size of the screen, mobile applications exist for iOS and Android, and certain operations remain possible offline, with later synchronisation.
How do I customise the printed documents?
Three levels exist:
- Change the logo, the colours and the layout from the Settings application, General Settings pane, then the document layout configuration.
- Modify the existing reports with Studio, without writing code (Enterprise).
- Create bespoke reports using the template engine, which requires technical skills.
How do I add a field that does not exist?
- For a need limited to one context (a project, a type of file), use a property field (see chapitre 4).
- For a general need, add the field with Studio (Enterprise).
- For a need involving business logic, have a specific module developed.
Technical questions
How do I improve performance?
- Size the server and the database correctly.
- Archive old data rather than keeping it active.
- Limit the number of fields displayed in the most consulted list views.
- Check that the external tools connected to the database are not saturating the resources.
- Check the automations: a badly written rule can execute thousands of times.
How do I back up the database?
Depending on the hosting: automatic backups provided by the platform in managed hosting, or scheduled backups to be set up in on-premise hosting.
Point d'attention
A backup that has never been restored is not a backup. Periodically test a full restore on a separate environment, and measure how long the operation takes: it is that duration which defines your real recovery time.
How do I install an additional application?
- Open Apps.
- Remove the Apps filter to also see the technical modules.
- Search for the module and click Activate.
For a third-party module, it must first be placed in the server's module directory, then the list of applications must be updated.
How do I configure email sending?
- Open the Settings application, General Settings pane.
- Fill in the outgoing mail server with the parameters supplied by your provider.
- Test the connection.
- Configure the domain authentication records to prevent your messages being classified as spam.
Functional questions
How do I configure taxes?
- Open Accounting › Configuration › Accounting › Taxes.
- Check the taxes installed by the fiscal localisation.
- Assign the default taxes to the products or to their categories.
- Create the fiscal positions matching your customers' special regimes: intra-Community, export, exemption.
- Assign the fiscal position on the record of each customer concerned.
How do I manage access rights?
Rights are set at several levels: the user's role, the access levels per application, and for particular cases the detailed technical permissions (see chapitre 5).
Apply the principle of least privilege: grant only what is necessary, and extend later if need be.
How do I manage several companies?
- Create each entity in Settings › Users & Companies › Companies.
- Configure for each one its chart of accounts, its journals and its documents.
- Assign to the users the companies they have access to and their default company.
- Set up inter-entity operations if they trade with one another.
How do I import a volume of data?
- First export a few records of the target type to obtain the exact template.
- Prepare the file respecting that format.
- Import in dependency order: reference data first, linked data next.
- Test on a sample before the full import.
Where do I find the indicators for my business?
Each application has its reporting menu, with graph and pivot views. The Dashboards application also gathers ready-to-use dashboards, notably for logistics and purchasing (see chapitre 19).
Is the intelligent assistant reliable?
It produces proposals from the context of the document: a text, a classification, a suggested action. Those proposals are not verified and must be read over before being sent to a third party or recorded in a file.
For processes that can be expressed as conditions (a threshold, a status, a date) prefer a classic automation rule: it is reproducible, verifiable and costs nothing to use.
What happens if I lose the connection?
The screens and records already opened during the session remain viewable, served from a local cache. They cannot be modified, however: data entry resumes when the connection is restored. A forced reload of the browser clears that cache.
Who do I turn to in case of difficulty?
- Consult the chatter of the document concerned: it retraces the actions carried out and often explains the behaviour observed.
- Check your access rights and the active company.
- Consult the online documentation from the help icon.
